PFSweb (www.pfsweb.com) develops and deploys integrated business infrastructure solutions and fulfillment services for Fortune 1000, Global 2000 and brand name companies, including third party logistics, call center support and e-commerce services. The company serves a multitude of industries and company types, including such clients as Adaptec, CHiA’SSO, FLAVIA Beverage Systems, Hewlett-Packard, iGo/Mobility Electronics, International Business Machines, Nokia, Pfizer, Inc., Raytheon Aircraft Company, Rene Furterer USA, Roots, Inc., Smithsonian Institution and Xerox.

PFSweb operates an IT department that provides three strategic functions: developing business software for sale in a direct license model and a fully-hosted ASP model; operating a hosting center that provides clients with access to IT systems and software; and operating a professional services organization that provides project management, software customization and implementation services for clients. These three functions require PFSweb to track detailed activities of the IT staff in order to:

  • Properly categorize IT activities as capital projects, billable client activities, non-billable client activities, company support activities and time-off and other overhead;
  • Manage projects and forecast future activities;
  • Track employee vacations and other time-off; and
  • Reconcile contract labor activities against invoices.

PFSweb formerly used a combination of manual forms, spreadsheets and project management software to perform these functions, but as the organization grew, it became apparent that this limited method of accounting would not scale with PFSweb’s growth and would cost the organization in lost revenue and could lead to inappropriate classification of IT activities.

Solution

PFSweb sought help from Journyx Timesheet – Web-based software for time-tracking, billing, payroll, invoicing and project management used by IBM, Analog Devices, VeriSign, Siemens and many others – to properly categorize IT activities, manage projects and forecast future activities, track employee vacations, and reconcile contract labor activities against invoices.

Results

Journyx provided an over-night implementation cycle, non-existent support requirements, user-friendly ubiquitous browser-based interface and the best-in-class features of the software. Journyx also provided PFSweb a variable cost model which enabled them to pay for the software on a per-user basis rather than paying a large up-front license fee. PFSweb converted its entire IT development and operations staff from the old system to Journyx overnight and cut its overhead associated with time tracking and reporting by more than 70 percent the first month.
