PDS Reduces Timesheet Effort and Error Using Journyx

Their Story

Using a manual time-tracking system of spreadsheets proved inefficient for PDS Technical Services, a specialty recruiting firm with 31 offices nationwide. PDS sought a web-based time tracking solution that integrated seamlessly with Lawson enterprise resource planning software. Additionally, the solution must be simple to implement, simple to use, cost effective, SAS 70 compliant, and offered as software-as-a-service (SaaS). After a lengthy review of market offerings, PDS found that Journyx Timesheet was the only solution that met all of these requirements. “It is important that our solution scale well to our business model and the SaaS version of Journyx Timesheet works well for us,” said Matthew Hahn, CIO, Enterprise Solutions Group, PDS Technical Services.

Solution

PDS uses Journyx Timesheet for three unique time collection models. The first is for office workers, including recruiters, account executives and administration employees. These employees use Timesheet as a standard method to collect time, report absences and submit expense reports. Next, Timesheet is used for the project-based engineering group for tracking project hours, completion and billing. These two groups total approximately 250 PDS employees using Timesheet.

Finally, PDS is beginning to roll Timesheet out to field employees who are currently using paper-based timesheets. PDS anticipates that 1000 field employees in more than 30 states will be using Timesheet by the end of the second quarter 2009. The ultimate goal is to eliminate paper timesheets completely.

Results

“Timesheet has helped us eliminate the manual data entry of more than 1,000 timesheets,” said Hahn. “Employees who previously worked in data entry can now focus on customer and field employee service. We freed the time of two to three FTEs (full time equivalents) across the organization. We anticipate a significant reduction in time keeping and billing errors, and every billing error we eliminate early in the cycle directly impacts our receivables.”
