RFA Engineering Significantly Reduces Payroll Time Using Journyx for Dynamics GP

Their Story

RFA Engineering provides engineering services and product development in all areas of machine design, primarily in the off-highway vehicle sector. They currently have over 400 employees, all of which are using Journyx.RFA Engineering was using a home-grown system of individual spreadsheets for collecting employee time, and an Access database to summarize the data – which necessitated the manual entry of payroll into their accounting software, Dynamics GP. This system also led to timesheet approval and submission challenges, which prolonged both their payroll and invoicing processes. “We had a difficult time getting managers to review the timecard data in a timely manner and we had no way to reinforce it,” said Bruce Birr, Partner and CIO at RFA Engineering. “Therefore, there were a lot of mistakes in our invoicing data which required adjustments the next week.”

Solution

RFA Engineering needed a more automated time tracking system that would reduce manual data entry and timesheet errors. They also needed a solution that would integrate with Dynamics GP. They sought recommendations from a consultant, who found Journyx to be the best fit for their needs.

Upon implementation of Journyx, RFA Engineering began using Journyx’s robust Dynamics GP integration to synchronize data with GP for payroll. They also use Journyx for Paid Time Off (PTO) requests and tracking Qualified Bonus Hours (QBH) accrual. Their managers and Accounting department use the Journyx Reportlink tool to quickly review data in Microsoft Excel.

Results

Using Journyx, RFA Engineering went from a completely manual time collection process to a completely automated one. “We were able to eliminate manual PTO cards and most of our payroll entry time using Journyx,” said Birr. Their data lives in one system and is easily synced to Dynamics GP, and “we no longer have to keep the PTO request cards in a recipe box!” said Birr.

The employees of RFA Engineering also benefit from using Journyx. “Our employees appreciate the ability to access Journyx virtually anywhere and not having to email in spreadsheets.”
